NJLA CUS/ACRL-NJ Chapter President and Exec. Board Activities Timeline

June

• Update the ACRL Chapters Council Roster with new Board members names and put them on Chapters listserv. See http://www.ala.org/ala/mgrps/divs/acrl/about/chapters/roster.cfm
• Attend NJLA Leader Orientation for review of CUS Exec. Board responsibilities and procedures for NJLA Conference program speaker sponsorship.
  
• Meeting of outgoing and incoming CUS Exec. Board and lunch at RU Faculty Club. Make sure that Committee Chairs understand their responsibilities for NJLA Conference programming and awards planning.
  
• Attend ACRL Chapters Council meeting at ALA National Conference and report on ACRL-NJ Chapter.
  
• Contact NJ Council of Academic Library Directors and try to attend June, October or January Council meetings to speak about NJLA CUS/ACRL-NJ Chapter activities and solicit nominations for awards.

  Summer (July/August)
  

• Start general planning for NJLA Spring Conference programs; choose and invite CUS Luncheon speaker.
• Contact VALE about co-planning annual VALE Users Conference (held in January).
• Update NJLA CUS/ACRL-NJ Chapter Website with new Exec. Board members and other information.
  
• Set up the year's meeting schedule for teleconferencing with contact people at Rutgers, Montclair State U., etc.
  
• Check NJLA Exec. Board meeting schedule on NJLA Calendar at: http://www.huntcal.com/cgi/calview.cgi/NJLA/NJLA?vm=r. Make sure CUS has a representative attending to report at important meetings (e.g., Fall Membership Meeting).
  
• Post ACRL-NJ Chapter Annual Report on Website. Current report is online at: http://njla.pbworks.com/f/CUS_AR200809.pdf.

  September
  

• Start putting together program proposals for NJLA Spring Conference and find out deadlines.
  
• Make sure that Committees update their Websites and know their responsibilities for award competitions. See Distinguished Service Award, Research Award, and Technology Innovation Award.
  
• Plans for VALE Users Conference should include invitation made to keynote speaker.
  
• Establish list of Committee presentations and workshops for this year with dates and follow NJLA Workshop Planning Manual.
  
• Check with other ACRL Chapters (e.g., ACRL-NY and ACRL-Delaware Valley.) for possible cooperative programs.

  October
  

• Remind Committee Chairs about NJLA Conference program proposals, due in early November.
  
• Send in proposal for CUS luncheon speaker and make sure that travel, housing, etc. are squared away with NJLA Conference Committee.
  
• Find out ACRL Chapter budget (e.g., has been $1 per ACRL member in NJ) and decide where to allocate monies.

  November
  

• NJLA CUS Luncheon Program Proposal should be done.
  
• Award planning should be underway with nomination invitations sent to the VALE, ACRL-NJ and NJLA-CUS listservs.
  
• VALE Users Conference planning should be nearly done.
  
• Nominations Committee should submit slate of NJLA CUS candidates for next year.

  December
  

• Attend NJLA Fall Membership Meeting and report on midyear status of CUS activities.
  
• Notify all VALE Users Conference presenters and plan schedule printing and room assignments.

  January
  

• Co-Chair VALE Users Conference and speak about CUS activities and membership opportunities at VALE Users Conference luncheon.
• Attend ACRL Chapters Council meeting at ALA Midwinter Conference and report on ACRL-NJ Chapter.

  February/March
  

• Make sure that all awards nominations are complete.
  
• Select Distinguished Service Librarian. Check CUS Constitution and Bylaws if quorum is not present.
  
• Exec. Board is invited to attend Tech. Innovation Award nominee presentations in mid-March at Rutgers U. Scholarly Communications Center.
• Slate, balloting and new officers for next year sent to membership by NJLA Nominations Committee.

  April/May
  

• Notify and congratulate all newly elected CUS Exec. Board members and Committee chairs and tell them to register for the NJLA Spring Conference and come to the NJLA CUS Luncheon, where they will be introduced.
  
• Committee Chairs should prepare for introducing speakers and making sure that all arrangements are made for program presentations.
  
• President and Exec. Board take CUS luncheon speaker to dinner the night before the luncheon.
  
• NJLA Spring Conference CUS Luncheon: President is Master of Ceremonies; new incoming President introduces the luncheon speaker.
  
• Send thank-you letters to all outgoing CUS Exec. Board members and Committee chairs.
• Write and submit ACRL Chapter Annual Report, due May 15, using the online ACRL Strategic Plan Implementation Form and including in the report a statement of how the chapter's activities supported the ACRL Strategic Plan in regard to the goals of professional development and legislative issues, and what activities the chapter may have undertaken to promote membership recruitment.
