Acquisitions Librarian

Position Summary: Under the direction of the Librarian, the Acquisitions Librarian provides support in managing the operations of the library. All other duties, as assigned by the Librarian

Position Duties and Responsibilities:

  • Provides support in managing the operations of the library (90%)
  • Manage all ordering, receiving, and invoicing of monographs using the acquisitions module of Horizon. Handle the processing of standing orders. Communicate with Faculty and Members on matters pertaining to important book orders.
  • Communicate with Faculty regarding new titles and other possible acquisitions as listed in catalogs and other media.
  • Report on new acquisitions made using the Leon Levy Book Fund, which includes generating a report and keeping the appropriate staff in the Directors Office informed.
  • Communicate with Accounting as needed, sending invoices to be paid on a weekly basis. On a monthly basis, send a balanced credit card invoice to order that it be paid in a timely manner.
  • Maintain vendor records and budget history in an automated environment. Be vigilant of account balances during the year to make sure that expenses are in line with our budgets. Purchase cataloging and other tools from the Library of Congress.
  • Assist with collection development and the processing of gifts including the acknowledgement letters to be signed by the Librarian. Send copies of the acknowledgement letters to the development office on a quarterly basis.
  • Collaborate with other library staff on fulfilling requests coming from the Firestone document delivery and courier service.
  • In the absence of the Librarian, serve as an alternate administrative contact should there be a library emergency. Participate in new member orientations.
  • Coordinate the library-hosted book conversation events which faculty have asked for. Assist the Librarian with other special events.
  • Research the provenance of rare manuscripts for the purpose of requesting duplication for acquisition or general reference for the faculty and occasionally for Members.
  • Handle reference questions for members, guests, visitors and staff as needed.
  • Update the display of recently published Member and Faculty books.
  • Other duties as assigned such as assisting with book sales, book inventory, working with circulation or periodicals when needed. All other duties as assigned by the Librarian (10%)
Skills and Abilities:
  • Strong administrative, office and computer experience.
  • Attention to detail and excellent written and verbal communication skills.
  • Must be able to lift and carry up to 30 lbs.
  • Strong analytic abilities, strong customer services philosophy, and self-motivation.

Education, Experience and Knowledge:
  • Bachelor’s degree or equivalent required
  • Masters degree, particularly MLS, preferred.
  • Familiarity with SirsiDynix Horizon a plus.
  • 2 years library experience in an academic setting preferred.
  • Office and computer software skills (Word) required.
  • Strong written and verbal communication skills required.
  • Knowledge of at least one foreign language strongly preferred.
