NJLA Is Seeking a Part-Time Bookkeeper

The New Jersey Library Association (NJLA) is seeking a Part-time Bookkeeper to work with NJLA staff to ensure that its accounting software (QuickBooks Online), Association Management Software (Novi), and bank, credit card, and investment accounts remain synchronized, and accurately reflect NJLA’s financial status. This is a remote position for a New Jersey resident.

  • Under the direction of the NJLA Executive Director, the Bookkeeper will
  • Work with NJLA’s Staff to create and track progress on annual budgets, and track NJLA’s financial trends monthly and quarterly. They will produce monthly Executive Board reports and presentations, and custom reports, as needed.
  • Support all audit and IRS reports, and ensure that all required reports are filed and NJLA remains in compliance with state and federal laws regarding filing deadlines.
  • Use accounting software (currently QuickBooks Online) to record and track:
    • Accounts Payable and Receivables, Cash receipts, Bill Payments and Check Registers, Detailed General Ledger, Reconciliations, and General Bookkeeping
    • Payroll, including all NJLA employee deductions, such as tax payments, insurance premiums, and retirement contributions
  • Record, process, and deposit checks, and process reimbursements and refunds.
  • Respond to email messages and phone calls about billing, as needed.
  • Track scholarship payments and reimbursements, mini-grants, and program vouchers.
  • Send receipts to donors, and share donation reports with relevant staff and volunteers.
  • Manage sponsored and hardship memberships, as needed.
  • Track Committee and Section spending; share reports with NJLA staff and relevant volunteers.
  • Provide accounting and reporting support for grant-funded programs, as needed.

Qualifications
Extensive experience managing finances in a comparable role using QuickBooks Online, preferably with at least one other nonprofit. Strong organizational skills, attention to detail, reliability, and a high level of self-motivation are required. Applicants must have the ability to communicate effectively, both verbally and in writing, and have proficiency in MS Office Suite.

Compensation
This position pays $1,200 per month, based on the assumption that the Bookkeeper will average 20 hours per month on NJLA activity. The position is unbenefited, with a 90-day test period.
